Workload management is a structured and systematic approach used to manage work performed to meet organizational goals. Workload management controls how claims and other work move through the adjudicative and fiduciary oversight process.

F.3.b. Workload Management Resources

Available resources, to include electronic systems and workload reports, must be used to manage and analyze workload, to ensure work is tracked, and completed accurately and timely.

Important: The effective functioning of these resources relies on adherence to systems compliance guidance by all hub personnel. Systems compliance is critical, as input deficiencies often result in avoidable rework, and/or hinder the ability to deliver oversight and services in an accurate and timely manner.

F.3.c. Effective Workload Management

Effective workload management controls require

  • inventory control of
  • claims and work items, and
  • administrative tasks
  • effectuating plans to ensure consistent management of hub work activities
  • monitoring progress toward achieving goals, and
  • implementing procedures to identify, analyze, monitor, and take necessary action to address conditions contributing to delays in processing fiduciary activities within the established timelines.

Important: Work items include administrative tasks, which are used by hubs as described in M21-4, Appendix F, 2 to track activities that require follow-up tracking outside of the processing of EPs.

F.3.d. Inventory Control

Inventory control of claims, administrative tasks, and work items, with validation, is critical to effective workload management, to include

  • ensuring hub work activities are promptly put under control, developed completely, decided timely, and completed accurately the first time
  • setting accurate suspense/due dates, special issues, flashes, claim labels, and task details (for example, the administrative task title and description align with procedures or the hub’s workload management plan (WMP))
  • properly recording requested and received evidence, and
  • taking appropriate follow-up actions at the earliest possible time.

Note: Adherence to all systems compliance guidance is mandatory as outlined in procedures and the hub’s WMP.
