Track a records request and partial deliveries

Keep an unsent request draft, its requested dates and each delivery together, then return from the same Action Plan task.

Overview

Records requests keeps the request you prepared and the records you received together. Saving a request stores an unsent draft. Send it yourself through the recipient’s process when it is ready.

Prepare and save a request

A partly received records request Records request titled Cedar records follow-up marked Partly received, with a saved source and February 2023 through August 2026 date range. Sample request with its original scope retained after a partial delivery. Partly received does not mean every requested record arrived. Back to Action Plan returns to the task that opened this request. Open Records requests In Documents, select Records requests, then New request. A Gather records task opens this view with its task context. Check the scope Enter a title, Record source, From and Through dates, and Records to include. Check the condition and workspace when present; a standalone request can leave them empty. Prepare the draft Add the Recipient when known, then choose Prepare an editable draft or write in Unsent draft. Replace placeholders and check names, dates and requested records. Save the request Select Save request and wait for confirmation. Enter Date you requested the records only after you have actually requested them. Once you save a requested date, the original source, record dates and scope stay with that request. Start a separate request for a different source or date range.

Record a partial delivery

Add a delivery Enter when it arrived, the dates its records cover and any useful notes. Link the relevant saved originals from Documents. Keep missing records visible Use Still needed for the dates or records that have not arrived. A delivery can satisfy only part of the original request. Confirm full receipt deliberately Compare every delivery with the full requested scope. Clear Still needed and check the full-receipt confirmation only when everything requested has arrived, then save. For example, a fictional request for February 1, 2023 through August 1, 2026 remains partly received when the delivery ends on December 31, 2024. January 1, 2025 through August 1, 2026 is still outstanding. A separate September record does not fill that missing period. Editing or removing a delivery clears the full-receipt confirmation. Review the complete scope again before confirming it. Completing the Action Plan task does not change a partial request to fully received.

Return to the same request

Open the saved request from Documents → Records requests. When you started from a Gather records task, a confirmed save can attach the request to that task. Back to Action Plan returns to it, and the saved request source reopens the same request. If saving succeeds but linking fails, use Retry task link. Keep task progress, notes, dates and reminders up to date separately; saving the request does not complete the task.

Handle an interrupted or conflicting save

If the outcome is unknown, Retry the same save checks or finishes that operation. If a definite rejection allows editing again, correct the preserved draft and save. Compare with saved version when available before choosing your version or the account’s version. A conflict can offer Save my version as a separate request or Discard my edits and use saved version. These are deliberate choices: a separate copy is a new request, and discarding edits gives up those local changes. Recovery is limited when browser storage is unavailable or the draft is incomplete. Follow the notice, keep the page open and wait for a confirmed save before relying on recovery after a reload.

Remove a saved request

Remove request erases its saved request content while keeping the original documents and Action Plan task. Its old continuation cannot reopen the removed request. Use removal only when you no longer need that request’s history.

If you cannot continue

If you cannot continue A request save or task link is unconfirmed Keep the page open and read the recovery notice. Use Retry the same save for an unknown save outcome, or Retry task link when the request is saved but its task link failed. When a conflict appears, compare with the saved version before choosing which version to keep. Saving a request does not send it or confirm full receipt.
