C-File basics and VA Form 20-10206

A VA claims file can contain records used to develop and decide claims. Request personal records through VA's current process, keep the request and response, and use Records Check-In only to save your own milestone.

Overview

A VA claims file, often called a C-File, is a collection of records associated with VA benefits claims. It may help you identify what VA received, what development occurred, and which records or examinations were considered. Its contents vary by person and over time. A C-File request does not pause a deadline Requesting records does not extend, replace, or pause a filing, evidence, response, or decision-review deadline. Follow the date and instructions on the current VA notice while the records request is pending.

What a C-File may contain

Claims, supporting forms, statements, and evidence received by VA. Service, VA, private, or federal records obtained during claim development. Requests, notices, development letters, and correspondence. VA claim examination requests, reports, and medical opinions when part of the file. Rating decisions, codesheets, and other adjudication records. Internal identifiers, contact details, and other sensitive personal information. Contents and timing vary A C-File is not guaranteed to contain every medical record, every document you expected, or records created after VA assembled the response. Review the response itself and its stated scope.

Use VA's current personal-record request process

Open the current VA instructions Start with VA's Form 20-10206 page and personal-record request page. Confirm the current form revision, submission route, identity requirements, and instructions before sending anything. Describe the records requested Identify the records and relevant period clearly enough for VA to process the request. Avoid asking for unrelated records merely because they might exist. Complete and review the request Use accurate identifying information, read the certifications, sign only after review, and keep a copy of exactly what you submitted. Use an official submission method Follow the current method listed by VA. Save available confirmation, tracking, or a dated copy for your records. Protect the response Treat the returned file as sensitive. Store working copies separately, keep originals unchanged, and share only through a channel appropriate for the recipient and purpose. Do not use a prefilled example A completed records request may expose a Social Security number, VA file number, date of birth, address, signature, or health information. This article intentionally does not provide or display a filled form.

C-File, medical records, and exam reports are not the same request

Start with the current official instructions for the record you actually need. Record What to verify VA claims file or other VBA records Use the current VA personal-record request instructions and describe the requested records. VA health records Use the applicable VA health-facility or My HealtheVet process; health records and VBA claims records are different systems. Private medical records Request them from the provider or use the current VA authorization process when appropriate. VA claim examination report The examiner generally does not provide the final report at the appointment; verify the current VA records-request route for a copy.

What Records Check-In tracks

Pathfinder Records Check-In lets you select and save a C-File milestone. A successful save confirms that Pathfinder stored your selection. It does not confirm a VA event. Use the milestone that matches what you personally know. Milestone Meaning inside Pathfinder What it does not mean Not requested You have not marked a request as submitted. Pathfinder checked every possible request channel. Requested You selected that you submitted a request. VA accepted, completed, or mailed the request. Received You selected that you received records. The response is complete, current, uploaded, or reviewed. Save failed Pathfinder did not confirm the milestone update. Your selection was persisted. Retry before relying on it. Pathfinder does not monitor this request Claim Raven does not receive VA status updates for the request, retrieve a full C-File automatically, guarantee when VA will produce records, or verify that the response is complete.

After records arrive

Preserve the original Keep the original response unchanged and create a separate working copy. Record scope and date Note when the response was created or received and what the cover material says it includes. Inventory before interpreting List major sections and source documents before drawing a claim conclusion. Verify every extracted item If software helps index or summarize the file, compare every consequential statement with the original page and context. Keep later analysis separate Requesting or receiving source records is not the same as completing a C-File report, legal analysis, or final claim strategy.

Common mistakes to avoid

Assuming a records request pauses the deadline on a VA notice. Treating a Pathfinder milestone as VA confirmation. Emailing an unredacted C-File to ordinary support. Editing or annotating the only original copy. Assuming one response includes every record or later-created document. Using an old link or form without checking the current VA page. Treating a software summary as more authoritative than the source pages.

If the request or response is unclear

If the request or response is unclear I cannot tell which request route to use. Open VA's current Form 20-10206 page. Identify whether you need VBA claims records, VA health records, or provider records. Read the current record-specific instructions. Use the official route for the actual record system instead of assuming one request covers every VA record. I submitted a request but have no update. Review your saved copy and submission confirmation. Use the contact or follow-up instructions on the current VA request page. Continue to follow any separate claim or review deadline. Keep the Pathfinder status as your own milestone; do not change it to received until that matches what you personally know. The response appears incomplete. Read the cover material and stated scope. Compare the inventory with the specific records requested. Identify missing items without assuming why they are absent. Use the current VA instructions to clarify or make a focused follow-up request, while preserving the original response. The Pathfinder milestone did not save. Keep your external request confirmation. Retry the save. Do not rely on an unsaved screen selection. A confirmed Pathfinder save records only your selected milestone; it still does not verify VA status. Return to Records Check-In to save the milestone that matches what you know. Use VA's current personal-record request page for the actual request and follow-up instructions.
